My 10 favorite preparation steps that I share as an executive coach with my clients about setting up their facilitation to be successful

As an executive coach, I have had the privilege of working with numerous clients from diverse industries, helping them enhance their leadership skills and navigate the complexities of their roles.

One critical aspect that I often focus on with my clients is effective facilitation. Facilitation is not just about leading meetings; it’s about guiding discussions, fostering collaboration, and driving meaningful outcomes.

Over the years, I have honed a set of 10 favorite preparation steps that I consistently share with my clients to ensure their facilitation efforts are not only successful but also transformative.

Understand Your Audience and Purpose

The first and most fundamental step in setting up successful facilitation is understanding your audience and clarifying the purpose of the session. Who will be attending the meeting? What are their roles, interests, and expectations? What specific outcomes are you aiming to achieve? Defining your audience and purpose helps tailor your approach, content, and activities to resonate with participants and meet their needs.

Set Clear Objectives and Agenda

Once you’ve identified the purpose of the facilitation, set clear and concise objectives for the session. What do you want participants to take away from the meeting? Craft a detailed agenda that outlines the flow of the session, including time allocations for each activity or discussion point. A well-structured agenda not only keeps the session on track but also communicates your commitment to the productive use of participants’ time.

Pre-Engagement and Prework

Engage participants before the facilitation begins by sending out prework or reading materials related to the topic. This primes them for meaningful discussions and ensures everyone is on the same page when the session starts. Pre-engagement also fosters a sense of ownership and accountability among participants, increasing their level of engagement during the actual facilitation.

Create a Safe and Inclusive Environment

As an executive coach, I emphasize the importance of psychological safety and inclusivity in every facilitation. Create an environment where participants feel comfortable expressing their thoughts, even if they differ from the majority. Establish ground rules that encourage respectful communication and active listening. When participants feel valued and heard, they are more likely to contribute openly and authentically.
